Expert Consultation

Every project begins with collecting the essential details required to understand your clearance requirements. This includes your company name, full site address, email and phone number, and the details of your on-site contact.

During this initial conversation, we focus on understanding what needs to be cleared and the general scale of the project. Our priority at this stage is to arrange a site visit so we can assess the clearance in person and plan it accurately.

If the project is smaller, we will ask you for a clear list of items and basic details about access, timing, and any specific requirements. This allows us to begin forming a practical plan before moving to the next stage.

Site Visit

Site Visit

The site visit is where the clearance plan is properly developed. The primary goal of this stage is to assess the time and labour required for the clearance. A key factor in this evaluation is determining whether items can be removed intact or will require dismantling to exit the building safely and efficiently, as dismantling can significantly increase the time and workforce needed to complete the removal.

We also request the floor plan from the client during the site visit, which helps us to provide a comprehensive quote.

Our Operations Manager assesses both the items and the surrounding environment to identify potential access limitations and health & safety risks at a glance. This evaluation helps determine the safest removal approach, whether that involves dismantling furniture, using alternative access routes, or scheduling after-hours removal in case of access restrictions, i.e. when the task cannot be completed safely during normal operating hours.

During the site visit, we carry out several assessments –

Weight & Handling Evaluation:

We assess the weight and size of furniture and equipment rather than relying on assumptions. For example, if heavy IT equipment is present, we may physically lift the item to assess its weight and determine whether additional operatives are required or if handling aids such as trolleys, skates, or a crane should be arranged. This ensures safe lifting, faster movement, and reduced strain on labour.

Volume & Removal Planning:

We consider the total volume of furniture, office equipment, and other items scheduled for removal from the site. This helps us determine the sequence in which items will be loaded onto the vehicle, and the number of operatives required to complete the work efficiently and affordably.

Access Route & Dismantling Assessment

Access Route & Dismantling Assessment

We walk the exact route each item will take, from its current position to the vehicle outside.

  • Corridors, door frames, staircases, tight turns, and lift size are all checked against the size of the largest item on site.
  • If the largest item cannot pass through a staircase or fit inside a lift after all access checks, we determine whether it needs to be dismantled for safe removal. Dismantling is a central part of our clearance strategy, where required.

If dismantling is feasible:

  • We identify items that must be taken apart to pass through stairways, corridors, or lifts without damage to the building or the item itself.
  • Based on this, we note the tools required for careful dismantling, such as drills, screwdrivers, and spanners, so the team arrives fully prepared on collection day.
  • Our priority is always to preserve items for reuse or recycling, so cutting equipment is avoided unless it becomes the only safe option.
  • At this stage, we also calculate the number of labourers required to complete the work efficiently and safely.

If dismantling alone does not resolve access limitations:

  • We assess structural barriers such as railings or restricted stair turns.
  • If temporary removal of a barrier would create a daytime safety risk (for example, leaving an exposed edge), we may schedule disposal after office hours to ensure the work can be completed safely without posing a health and safety risk to building occupants.
  • We also consider whether alternative routes may provide a more efficient removal path. For example, if using a fire exit offers a shorter or safer route to the van, we will request the client’s approval to use it. This helps reduce movement through busy office areas and can speed up the overall clearance process.

Every decision at this stage is made to ensure safe removal without damage to property or unnecessary disruption.

Labour Planning & On-Site Risk Assessment

Labour Planning & On-Site Risk Assessment

We then move on to planning the resources needed to complete the clearance safely and efficiently after determining the access routes, item weights, floor levels, and any dismantling requirements.

Labour & Equipment Calculation:

We calculate the exact number of operatives required to complete the clearance safely and efficiently. We do that based on weight, access complexity, dismantling requirements, and total volume. The floor location of the waste also affects labour planning. For waste located on the 1st floor, we may require three or more operatives, whereas for higher floors, we may require additional manpower due to the increased movement involved.

We plan properly to prevent overstaffing while ensuring sufficient manpower for heavy or complex removals, and keep the process both controlled and cost-effective.

On-Site Risk Assessment:

Alongside operational planning, we conduct a full health and safety assessment of the environment. This is formally documented and later presented for sign-off prior to commencement.

A full risk assessment is also conducted during this stage, which covers –

  • Electrical items that must be isolated before removal, as our team is not certified to disconnect them.
  • Fire exits, access routes, and evacuation pathways to ensure they remain clear throughout the clearance.
  • Slippery flooring, uneven surfaces, confined working spaces, and other slip, trip, or fall hazards.
  • Vehicle access, loading bays, and the movement of vehicles during collection activities.
  • Manual handling risks associated with lifting heavy furniture and equipment.
  • Parking access, loading bays, vehicle accommodation, and potential PCN restrictions.
  • The potential presence of hazardous materials such as sharps, asbestos, or substances covered under COSHH (Control of Substances Hazardous to Health) regulations.
  • Environmental conditions such as dust, fumes, or noise levels may affect safe working conditions.
  • The possibility of falling objects or work carried out at height during dismantling and removal activities.
  • External factors, such as weather conditions, may impact safe loading and collection operations.
  • Site safety considerations, such as lone-working arrangements and the availability of first-aid equipment for minor injuries.

Through experience, potential risks can often be identified immediately by observing the working environment. It allows us to plan solutions before the day of clearance that are both time-efficient and cost-effective.

Detailed Scope of Work & Quotation

Detailed Scope of Work & Quotation

After the site visit, we prepare a clear Scope of Work along with the quotation, so you know exactly how the clearance will be carried out, including any dismantling required before items are removed from the site.

The Scope of Work outlines:

  • The estimated time required to complete the clearance is either in hours or across multiple days, depending on the project size.
  • A simple breakdown or list of the items to be cleared and the type of waste involved.
  • Any additional services required, such as hazardous waste handling or secure data destruction, are provided where applicable.
  • Any additional site requirements that must be addressed before work begins, such as electrical items that need to be isolated.

The quotation is then shared with transparent pricing based on the assessed scope. You are given the flexibility to select a suitable time slot based on our earliest available collection dates.

Collection

Collection

On the day of collection, we contact you 30 minutes prior to arrival. Once on-site, we are asked to review and sign the previously prepared risk assessment form before the clearance operations begin.

Before starting the clearance, the labourers are briefed on the findings of the risk assessment, including any safety precautions such as wearing earbuds in noisy environments or taking extra care on slippery floors. The labourers are given time to change into their PPE uniforms, including safety boots, gloves, and hard hats.

Our team ensures covering lifts, carpets, and surrounding areas with dust sheets to prevent them from getting dirty during the dismantling and removal process. This ensures the clearance process does not create a mess, harm our labourers, or impact the customer’s site while items are being dismantled and removed.

The clearance is then carried out methodically:

  • Sensitive or reusable items that we don’t collect, such as IT equipment and glass furniture, are securely put aside to prevent damage during the process, whereas delicate or reusable waste like display panels or desk lamps are carefully carried to the van. These items are prioritised and separated first during removal to avoid causing any damage or mess while dismantling and moving heavier items.
  • Items are dismantled only where necessary to allow safe removal through stairways, corridors, or lifts. Our team removes screws and fittings carefully, using appropriate tools to keep items intact wherever possible.
  • Larger furniture and equipment are then systematically removed from the site, following the access routes planned during the site visit and loaded securely into our vehicles.

Once all items have been cleared, the dust sheets used to protect lifts, carpets, and surrounding areas are removed. The workspace is then checked, cleared of any debris, and vacuumed, leaving the area tidy and ready for use.

Compliance

Compliance

After the clearance is complete, we provide a full suite of compliance documentation to ensure your organisation has a clear and legally compliant disposal record. These documents form a complete audit trail for the waste removed from your premises.

This documentation includes:

  • Waste Transfer Notes confirming the legal transfer and disposal of waste.
  • WEEE Certificates for the responsible disposal and recycling of electronic equipment.
  • Hazardous Waste Consignment Notes, where applicable.
  • Data Destruction Certificates for securely destroying confidential documents or hard drives.

Alongside compliance documents, we also provide sustainability reporting, which outlines how materials from your clearance were processed. This includes a breakdown of recycled materials such as metal, wood, plastics, and IT equipment, along with a report detailing the overall environmental impact of the clearance.

To further support environmentally sustainable waste management, we also offset the carbon emissions generated during collection on a per-tonne basis. For every tonne of waste collected, we contribute an equivalent offset through our partnership with Ecologi to ensure the clearance achieves a net-zero carbon footprint. As a part of our sustainability strategy, we also reuse the items that we separated during the clearance, as they were in good condition.
